Teams Phone

• Make and receive calls

  Once you're added to the University's Teams Phone plan, restart Microsoft Teams to access the Teams Phone app.

  Microsoft has instructions on how to:

  • Make calls
  • Answer a call

  Use the search bar in Teams to find and call other staff. You can search by their name, username, or phone extension.

   

• Domestic and international calls

  All staff using Teams Phone can place domestic calls.

  If you need to place international calls as part of your role, speak to your budget holder and log a call with the IT Service Desk.

• Call charges

  A call can be charged at different rates depending on when the call is placed and what number is called. The types of call charges are:

  • Standard rate: Calls made on Monday to Friday from 8am to 6pm are charged at the standard rate.
  • Cheap rate: Calls made on Monday to Friday after 6pm or on the weekend are charged at the cheap rate.
  • Premium rate numbers: Access to premium rate numbers is restricted. To make these calls, contact the switchboard during work hours by dialing '0'. Calls to these numbers are charged at £1.50 per minute.

  Staff should avoid accepting calls that transfer charges to our system due to high administrative costs. These calls will incur an additional administration fee. 

• Manage contacts

  Your Outlook contacts will sync with Teams. You can add new contacts , organise contacts into groups, and add contacts to speed dial.

• Call settings and voicemail

  Forwarding

  You can forward your calls to another number or Teams member, or have another phone ring along with your work phone when you get a call. You can also manage calls using the Teams mobile app.  For more detailed instructions on setting up these features, visit Microsoft's support page.

  Do not disturb and priority access

  You can change your Teams status to manage who can call you. If you set your status to 'do not disturb', new calls will go to voicemail or another number. You can make exceptions so certain people can still call you even in this mode.

  Voicemail

  You can change your voicemail settings to:

  • Record a greeting that plays when you're out of office
  • Create a greeting using text-to-speech
  • End calls without playing a greeting
  • Send unanswered calls to a different number

• Call logging

  All Teams Phone calls are logged by extension number. Monthly call summaries and charges are sent to heads of Schools or Units and billed to the relevant debit accounts. Copies of statements can be requested from the Telephone Office.

  If there have been changes to debit accounts or telephone extension ownership, inform the Telephone Office at teloff@st-andrews.ac.uk.

• Telephone directory updates

  If you need to update your details or aren't listed in the telephone directory, email the Telephone Office at teloff@st-andrews.ac.uk. All staff are automatically added to the directory. If you prefer to not be included, contact the Telephone Office.
